ABOUT THE FORUM / Advancing Intelligent Information Management in Toronto

For years, we’ve justified information management and governance by what it prevents. This year, we’re asking what it makes possible.

Outside the Lines: Rethinking Information Management in the AI Era challenges information professionals to move beyond traditional boundaries and connect IM/IG decisions to the business outcomes organizations care about most. As organizations work to get their data ready for AI, the conversation can no longer stop at risk, compliance, and control. It must also include trust, innovation, efficiency, resilience, and strategic value.

This free half-day forum is built to test the assumptions we walk in with, challenge the limits of “the way we’ve always done it,” and connect daily information management practice to what matters most to our organizations.

The day includes keynote presentations, interactive roundtables, a fast-paced case study competition featuring real-world projects, and lunch. You’ll leave with sharper thinking, a practical framework for making your case, and ideas you can use right away.

REGISTRATION / Connect with Information Leaders

This event is tailored exclusively for information management practitioners within end-user organizations, that is, organizations that do not provide information management software or services. We appreciate your understanding and support in maintaining this focus.

Welcome Remarks & Introductions

AIIM Chair Jason Cassidy and our Diamond Sponsor, Preservica, open the day and frame the question we're here to explore. Most of us have justified information management by what it prevents. AI is changing that, and good information is increasingly what determines whether AI delivers. A short poll will give us a read on where the room stands.

The Conversation You're Not Having (Yet): An Information Leader and a Business Partner

What happens when the person driving AI adoption and the person responsible for governing it sit down together and talk honestly? This opening fireside chat brings two practitioners into the room with different mandates and, likely, different opinions. Expect a candid conversation about where AI and information management are creating real tension inside organizations today, why those tensions exist, and what it actually takes to move forward together.

Roundtable Discussion

At your table, you'll work through a simple structure for making the case for information management in terms a business leader cares about: the outcome an executive is chasing, what AI needs from your information to get there, where the gaps are, and how you'd put it in a single sentence. Each table will build an example and share its best one.

Lunch

Enjoy a quick lunch while connecting with colleagues, meeting new peers, and continuing the conversation in a relaxed setting.

Case Study Competition

Four organizations have seven minutes each to share a real project using AI, automation, and information management to get more from their data. The competition asks the same question as the rest of the day: what did the information work make possible, not just the technology? You'll vote across four outcome-focused award categories.

Networking Break with Solution Partners

A chance to follow up directly with the solution partners whose work resonated, whether you want to talk implementation, cost, or what a first step might look like for your organisation. Refreshments are served.

Closing Speaker: The Accountability Advantage: Building Strategic Influence in the AI Era

As organizations rebuild around AI, information professionals have a rare chance to claim the territory no one else can occupy: context. Drawing on data from the AIIM Industry Watch 2026 report, we will share what to learn, what to delegate, and what to influence. You'll leave knowing how to position yourself as the translator between data and meaning, and how to communicate that value upward without waiting for permission.

FORUM FAQS

For this event, an information management practitioner is someone who works inside an end-user organization to manage, govern, protect, organize, retain, or improve the use of that organization’s information and data.

This may include professionals working in records management, information governance, compliance, legal operations, privacy, data governance, knowledge management, enterprise content management, automation, AI readiness, or related functions.

This event is designed specifically for practitioners within end-user organizations. It is not intended for consultants, vendors, solution providers, software companies, service providers, or organizations that sell, implement, or advise on information management technology or services. We appreciate your understanding as we maintain a practitioner-focused environment for open discussion, peer learning, and real-world problem solving.

The OBA Conference Centre is centrally located in downtown Toronto, making it a convenient and accessible venue for attendees traveling from across the city and beyond. The venue is approximately a 10-minute walk from Union Station, Toronto’s major transit hub, with easy access to GO Transit, VIA Rail, UP Express, TTC subway and streetcar service, and nearby parking options.

Its downtown location places attendees close to hotels, restaurants, business districts, and local attractions, making it easy to arrive, connect, and make the most of your time at the event.

Getting There
Attendees arriving by public transit can travel to Union Station and walk to the OBA Conference Centre in about 10 minutes. Those driving into the city will find several paid parking options nearby. We recommend allowing extra travel time during peak downtown traffic hours.

This is a complimentary event with limited capacity. To ensure as many members of the community as possible can participate, we ask that you cancel your registration as soon as possible if you are no longer able to attend.

Because attendance is limited to 30 participants, cancellations received in advance allow us to offer your place to someone on the waitlist. If your plans change, please log in to the AIIM Member Portal at my.aiim.org and cancel your registration at least 48 hours before the event whenever possible.

Thank you for helping us make the best use of the available spaces and for being considerate of fellow community members who may wish to attend.

Just bring yourself, your curiosity, and a willingness to engage with your peers. We recommend bringing a notebook or laptop if you'd like to take notes, along with plenty of questions and real-world challenges to discuss with fellow information and data professionals.

The AI+IM Regional Forum is designed to be interactive, so you'll get the most value by actively participating in conversations, sharing experiences, and learning from others in the room.

No. The AI+IM Regional Exchange is designed as an interactive, in-person experience that encourages open discussion, peer-to-peer learning, and meaningful networking. Throughout the day, attendees participate in conversations, ask questions, and share real-world challenges and experiences that are often best suited to a live environment.

By not recording the session, we create a space where participants can engage freely, connect with their peers, and stay fully present in the discussion. We encourage attendees to take notes, exchange contact information, and make the most of the opportunity to learn directly from fellow practitioners and experts in the room.
