Terms And Conditions

By entering or otherwise participating in the AI+IM Global Summit on March 31. April 2, 2025
(“Summit”), you, as an attendee of the Summit, signify agreement to the following terms and
conditions:
• Full prepayment of the Registration Fee must be received by AIIM by March 28, 2025, in
order for your Summit registration to be valid.
• One hundred (100%) of the Registration Fee is refundable if you cancel your registration,
in writing, by January 31, 2025.
• Cancellations received between February 1, 2025 and February 28, 2025 will be granted
a 70% refund of the price paid.
• No refunds of any portion of the Registration Fee will be made for cancellations after
March 1, 2025.
• You may make Summit registrant name changes up to seven (7) days before the opening
day (March 23, 2025) of the Summit; these must be made in writing to AIIM,
acknowledged by AIIM or actioned by yourself on the AIIM Summit website
• You agree that AIIM may include your name, company information and contact
information through the Summit internet and mobile apps. You also consent to receiving
Summit related emails, text messages, and other electronic communications.
• You consent to AIIM and Hyatt Regency Atlanta sharing information relating to your stay
at the hotel, (should this be your accommodation choice). Hyatt Regency Atlanta
complies with the Global Privacy Policy for guests available at http://privacy.hyatt.com
By registering for this event, you consent to receiving communication from AIIM about this
event and other related activities that would be of interest; and have your contact information,
including email, passed on to the limited sponsors of this event who scan your badge, or whose
content you interact with on the event app/event websites for the purpose of following up on
your interest in their products/services. When registering for this event, you acknowledge that
your contact information will be entered into our event registration system, event apps and
websites.
As a condition to participate and attend the Summit, you agree to conduct yourself in a safe and
orderly manner. You represent that you have made an independent decision to attend and
participate in the Summit.
You agree that you are responsible for your own health, wellbeing, and personal safety at the
Summit.
You understand that travel and gathering involves risk of sickness, including sickness from
COVID-19. I waive and release AIIM and its alliance partners/industry partners, and their
employees and agents, from and against claims, liabilities and expenses arising from injury,
sickness or death from contraction or spread of COVID-19 or other communicable disease due
to travel to or attendance at an event hosted by AIIM
This waiver and release are binding for you, and any heirs and successors.
AIIM, the Summit management, and all related personnel reserve the right to refuse admission
to any person and to remove persons from the Summit for any reason at any time.
You are not allowed to bring into the Summit any signs, message boards or other articles that
could obstruct others.
Neither AIIM, Summit management, the owner of the Hyatt Regency Atlanta Hotel, or any
affiliate thereof (including, without limitation, the respective parties; officers, directors,
employees, volunteers, contractors and representatives) is responsible for personal injury or
property damaged, lost or stolen at or in connection with the Summit.
Dangerous or hazardous items are not permitted within the Summit, and such items may be
confiscated. Any person in possession of such items may be refused entry or ejected from the
Summit.
Summit personnel reserve the right to search all persons and personal property at the Summit.
You give your express consent to the use of your likeness in connection with the production,
exhibition, advertising or exploitation of any picture, photo, film, video and/or audio recording
of the Summit, and/or any element thereof in any/all media throughout the World.
You acknowledge and fully understand that participation in or attendance at the Summit may
involve risks. These risks include, but are not limited to, those caused by: (a) the actions,
inactions or negligence of AIIM, Summit management, the owner of the Hyatt Regency Atlanta
Hotel, or any affiliate thereof (including, without limitation, the respective parties; officers,
directors, employees, volunteers, contractors and representatives); and (b) conditions of the
Summit venues. You further acknowledge and fully understand that there may also be other
risks that are not known or foreseeable at this time. YOU KNOWINGLY AND VOLUNTARILY
ASSUME ALL RISK OF PROPERTY LOSS AND PERSONAL INJURY THAT MAY OCCUR BY ATTENDING
OR PARTICIPATING IN THE SUMMIT AND HEREBY FOREVER RELEASE, DISCHARGE AND HOLD
AIIM, Summit management, the owner of the HYATT REGENCY ATLANTA Hotel, or any affiliate
thereof (including, without limitation, the respective parties; officers, directors, employees,
volunteers, contractors and representatives) HARMLESS FROM ANY CLAIM ARISING FROM SUCH
RISK, EVEN IF ARISING FROM THE NEGLIGENCE OF AIIM, Summit management, the owner of
the HYATT REGENCY ATLANTA Hotel, or any affiliate thereof (including, without limitation, the
respective parties; officers, directors, employees, volunteers, contractors and representatives),
OR BY THIRD PARTIES, AND YOU ASSUME FULL RESPONSIBILITY AND LIABILITY FOR YOUR
ATTENDANCE AND PARTICIPATION IN THE SUMMIT.
AI+IM Global Summit and AIIMs performance is subject to force majeure; events and
circumstances, including but not limited to, acts of God, war, government regulation, disaster,
fire, strikes, unavailability of venues, severe weather condition, civil disorder, or curtailment of
transportation facilities, illness or injury, disease outbreak, terrorism, threats of any of the
foregoing, or similar cause or circumstance beyond the control of AIIM making it illegal,
impossible, impracticable or commercially inadvisable for AIIM to hold the Summit or which
materially impacts AIIM ability to perform. Should the Summit be terminated or impacted due
to a force majeure event or circumstance beyond the control of AIIM, AIIM shall have no liability
to you and any payment you have made to AIIM will not be refunded to you, but transferable to
a later AI+IM Global Summit.
These terms and conditions, including, without limitation, all waivers and releases herein, shall
be construed broadly. If any part of any provision of these terms and conditions, including,
without limitation, the waivers and releases herein, shall be invalid or unenforceable under
applicable law, said part shall be ineffective to the extent of such invalidity or unenforceability
only, without in any way affecting the remaining parts of said provision or the remaining
provisions of these terms and conditions.
These terms and conditions shall be construed in accordance with the laws of the State of
Maryland without reference to or application of its rules governing conflicts of law. In addition,
all disputes arising under this Agreement shall be resolved in any state or federal court in the
State of Maryland, and you agree, solely for purposes of this Agreement, to submit to the
personal jurisdiction of that court. These terms and conditions may be executed and delivered
by facsimile or electronic signature and transmission. YOU EXPRESSLY WAIVE TRIAL BY JURY IN
ANY ACTION IN CONNECTION WITH THIS AGREEMENT.

Speaker Terms & Conditions

These terms and conditions are accepted during the session submission process and are provided here as a reminder.

The Contact/Submitter has full authority to submit on behalf of all Speakers/Presenters, including acknowledging these terms and conditions.

General Terms

  • All sessions and speakers are subject to AIIM approval through our peer and staff review process.
  • AIIM retains the right to edit submitted information prior to use, including (but not limited to) proofing, adapting to the writing style and voice of AI+IM Global Summit, and editing for promotional use.
  • AIIM may record presenters' images and voices for possible use in AIIM materials. Recordings may be edited, copied, exhibited, published, or distributed. (Special exceptions may be made for speakers whose employers prohibit such recordings.)
  • AIIM retains speakers' personal data and information about their sessions indefinitely for archival and reference purposes.
  • AIIM is an AI-forward organization, and you're welcome to use AI tools to help edit and refine your submission. That said, please make sure the ideas and voice in your submission are your own.

Speaker Eligibility & Requirements

All consultants, analysts, solution providers, and end users may submit session proposals. Sessions led or co-led by end users receive priority consideration in our selection process.

All speakers must:

  • Indicate their company type during submission
  • Confirm their participation before submission is finalized
  • Agree to speak only on educational content (no product demonstrations or commercial pitches)
  • Have full permission and use rights to all information, images, quotes, and materials shared in their session, and agree to indemnify and hold AIIM harmless from any claims, damages, or liabilities arising from copyright, trademark, or other infringement related to their submitted materials or presentation
  • May not serve as a speaker on more than two (2) sessions at the event

Speaker Compensation & Registration

AIIM compensates speakers with complimentary AI+IM Global Summit registration. The complimentary registration will be granted ONLY to those listed on the original Session Submission Form, with a maximum of two (2) complimentary registrations per session.

AIIM does not provide reimbursement for travel, lodging, or other expenses related to speaking at the event.

AIIM can provide a letter of invitation to support international speakers in applying for a travel visa. AIIM cannot guarantee visa approval and is not responsible for any visa-related fees, delays, or denials.

Important Registration Rules:

  • AIIM will not accept any session submission if any Speaker's name is "TBD" or "a client." Complete speaker information is required at time of submission.
  • Each session may have a maximum of two (2) speakers.
  • If any Speaker changes after the original submission, those new Speakers will be charged the full Conference registration fee.
  • If you submit more than two (2) speakers for a session, only two will receive complimentary registration.
  • AIIM cannot accept any speaker substitutions after March 20, 2026.

Speaker Obligations

Each accepted Speaker shall:

Submit required materials:

  • High resolution color photo (in .png format), at least 1000x1000 pixels
  • 75-200 word professional bio

Participate in pre-event activities:

  • Podcast/video interview prior to AI+IM Global Summit (schedule mutually agreed)
  • Speaker Orientation webcast (live or recorded version)

Work collaboratively:

  • Communicate with AIIM's designated volunteers and staff member for the session
  • The Curator's role is to aid speakers in ensuring content meets the event's strategic goals, including interactive elements
  • Submit slide deck: Provide the final slide deck to AIIM no later than three (3) weeks prior to the live event.
  • Confirm attendance: By confirming their role as a Speaker, the individual is expected to attend and present at the live event. All speakers must complete a 15-minute call with the AIIM team to review program details. AIIM values reliability in its speakers, and attendance as confirmed may be taken into consideration for future AI+IM speaking opportunities.
  • Register promptly: All speakers must register for the event at the time they confirm their speaking role.
  • Confirm travel plans: Speakers must confirm their hotel booking and length of stay with the AIIM team no later than three (3) weeks before the live event.
  • Meet all deadlines: Adhere to all deadlines on the event's "For Speakers" webpage. Failure to meet deadlines may result in AIIM withdrawing the speaking opportunity with written notice.
  • Cancel with notice: We understand things come up. If you need to cancel, please let us know at least 30 days before the event so we have time to find a substitute. If something comes up closer to the event, email us as soon as you know. Speakers who no-show without notifying AIIM may not be invited to speak at future AIIM events.
  • Follow conduct standards: Adhere to AIIM's Code of Conduct throughout the event.

Session Guidelines

Content Requirements:

  • Sessions should align with AIIM's strategic pillars and suggested topics
  • Educational focus required - no product demonstrations or commercial content permitted
  • One slide per speaker allowed for name, title, company, and contact information
  • All sessions must include an end user as a speaker or co-speaker

Submission Rules:

  • Session submissions cannot be changed or substantively edited after submission and approval
  • Sessions are accepted as originally proposed unless otherwise communicated by AIIM in writing
  • Sessions submitted without fully approved/confirmed Speakers will not be accepted
  • Additional Speakers cannot be added to sessions after initial approval

Presentation Standards:

  • AIIM encourages use of the AIIM PowerPoint template or cover slide in all presentations
  • Speakers will not receive attendee contact information or data

Review Process

All submissions undergo a two-stage review:

  • Peer Review: Blind review process with weighted scoring, favoring sessions that include end users
  • Staff Review: Final selection ensuring balanced programming while prioritizing end user-led content and overall audience value

By submitting a session proposal, you acknowledge that you have read, understood, and agree to these terms and conditions.
