Terms And Conditions

By entering or otherwise participating in the AI+IM Global Summit on March 31. April 2, 2025
(“Summit”), you, as an attendee of the Summit, signify agreement to the following terms and
conditions:
• Full prepayment of the Registration Fee must be received by AIIM by March 28, 2025, in
order for your Summit registration to be valid.
• One hundred (100%) of the Registration Fee is refundable if you cancel your registration,
in writing, by January 31, 2025.
• Cancellations received between February 1, 2025 and February 28, 2025 will be granted
a 70% refund of the price paid.
• No refunds of any portion of the Registration Fee will be made for cancellations after
March 1, 2025.
• You may make Summit registrant name changes up to seven (7) days before the opening
day (March 23, 2025) of the Summit; these must be made in writing to AIIM,
acknowledged by AIIM or actioned by yourself on the AIIM Summit website
• You agree that AIIM may include your name, company information and contact
information through the Summit internet and mobile apps. You also consent to receiving
Summit related emails, text messages, and other electronic communications.
• You consent to AIIM and Hyatt Regency Atlanta sharing information relating to your stay
at the hotel, (should this be your accommodation choice). Hyatt Regency Atlanta
complies with the Global Privacy Policy for guests available at http://privacy.hyatt.com
By registering for this event, you consent to receiving communication from AIIM about this
event and other related activities that would be of interest; and have your contact information,
including email, passed on to the limited sponsors of this event who scan your badge, or whose
content you interact with on the event app/event websites for the purpose of following up on
your interest in their products/services. When registering for this event, you acknowledge that
your contact information will be entered into our event registration system, event apps and
websites.
As a condition to participate and attend the Summit, you agree to conduct yourself in a safe and
orderly manner. You represent that you have made an independent decision to attend and
participate in the Summit.
You agree that you are responsible for your own health, wellbeing, and personal safety at the
Summit.
You understand that travel and gathering involves risk of sickness, including sickness from
COVID-19. I waive and release AIIM and its alliance partners/industry partners, and their
employees and agents, from and against claims, liabilities and expenses arising from injury,
sickness or death from contraction or spread of COVID-19 or other communicable disease due
to travel to or attendance at an event hosted by AIIM
This waiver and release are binding for you, and any heirs and successors.
AIIM, the Summit management, and all related personnel reserve the right to refuse admission
to any person and to remove persons from the Summit for any reason at any time.
You are not allowed to bring into the Summit any signs, message boards or other articles that
could obstruct others.
Neither AIIM, Summit management, the owner of the Hyatt Regency Atlanta Hotel, or any
affiliate thereof (including, without limitation, the respective parties; officers, directors,
employees, volunteers, contractors and representatives) is responsible for personal injury or
property damaged, lost or stolen at or in connection with the Summit.
Dangerous or hazardous items are not permitted within the Summit, and such items may be
confiscated. Any person in possession of such items may be refused entry or ejected from the
Summit.
Summit personnel reserve the right to search all persons and personal property at the Summit.
You give your express consent to the use of your likeness in connection with the production,
exhibition, advertising or exploitation of any picture, photo, film, video and/or audio recording
of the Summit, and/or any element thereof in any/all media throughout the World.
You acknowledge and fully understand that participation in or attendance at the Summit may
involve risks. These risks include, but are not limited to, those caused by: (a) the actions,
inactions or negligence of AIIM, Summit management, the owner of the Hyatt Regency Atlanta
Hotel, or any affiliate thereof (including, without limitation, the respective parties; officers,
directors, employees, volunteers, contractors and representatives); and (b) conditions of the
Summit venues. You further acknowledge and fully understand that there may also be other
risks that are not known or foreseeable at this time. YOU KNOWINGLY AND VOLUNTARILY
ASSUME ALL RISK OF PROPERTY LOSS AND PERSONAL INJURY THAT MAY OCCUR BY ATTENDING
OR PARTICIPATING IN THE SUMMIT AND HEREBY FOREVER RELEASE, DISCHARGE AND HOLD
AIIM, Summit management, the owner of the HYATT REGENCY ATLANTA Hotel, or any affiliate
thereof (including, without limitation, the respective parties; officers, directors, employees,
volunteers, contractors and representatives) HARMLESS FROM ANY CLAIM ARISING FROM SUCH
RISK, EVEN IF ARISING FROM THE NEGLIGENCE OF AIIM, Summit management, the owner of
the HYATT REGENCY ATLANTA Hotel, or any affiliate thereof (including, without limitation, the
respective parties; officers, directors, employees, volunteers, contractors and representatives),
OR BY THIRD PARTIES, AND YOU ASSUME FULL RESPONSIBILITY AND LIABILITY FOR YOUR
ATTENDANCE AND PARTICIPATION IN THE SUMMIT.
AI+IM Global Summit and AIIMs performance is subject to force majeure; events and
circumstances, including but not limited to, acts of God, war, government regulation, disaster,
fire, strikes, unavailability of venues, severe weather condition, civil disorder, or curtailment of
transportation facilities, illness or injury, disease outbreak, terrorism, threats of any of the
foregoing, or similar cause or circumstance beyond the control of AIIM making it illegal,
impossible, impracticable or commercially inadvisable for AIIM to hold the Summit or which
materially impacts AIIM ability to perform. Should the Summit be terminated or impacted due
to a force majeure event or circumstance beyond the control of AIIM, AIIM shall have no liability
to you and any payment you have made to AIIM will not be refunded to you, but transferable to
a later AI+IM Global Summit.
These terms and conditions, including, without limitation, all waivers and releases herein, shall
be construed broadly. If any part of any provision of these terms and conditions, including,
without limitation, the waivers and releases herein, shall be invalid or unenforceable under
applicable law, said part shall be ineffective to the extent of such invalidity or unenforceability
only, without in any way affecting the remaining parts of said provision or the remaining
provisions of these terms and conditions.
These terms and conditions shall be construed in accordance with the laws of the State of
Maryland without reference to or application of its rules governing conflicts of law. In addition,
all disputes arising under this Agreement shall be resolved in any state or federal court in the
State of Maryland, and you agree, solely for purposes of this Agreement, to submit to the
personal jurisdiction of that court. These terms and conditions may be executed and delivered
by facsimile or electronic signature and transmission. YOU EXPRESSLY WAIVE TRIAL BY JURY IN
ANY ACTION IN CONNECTION WITH THIS AGREEMENT.

You can set your sponsor space up in the Hall of Solutions from 3pm-5pm Monday April 27, alternatively from 7.30am Tuesday April 28. All setup must be completed by 8.30am on Tuesday April 28, as we will serve breakfast and open doors for all attendees at this time. The first general session starts at 9am on Tuesday April 28.

 

Sponsor Breakdown

Breaking down your space will happen after the event closes on Thursday April 30, at 12.15pm.  

All items being shipped back must be packed down and taken to Fedex or the courier of choice. There is not any shipping facility onsite. Please do not leave these onsite as they will not make it back to you.

Receiving and Shipping is the responsibility of your team, please do not leave this to AIIM to manage.

Shipping and Receiving / Package Handling

Handling fees apply to all packages shipped in and out, in addition to the carrier’s assessed cost. These prices are subject to change and are applied and at the discretion of the hotel.

Unlike previous years AIIM is not using a contractor to aid us with shipping and handling.

Special arrangements must be made for receiving any equipment, goods, displays, or other materials, which will be sent, delivered or brought into the hotel. Failure to do this may result in deliveries being refused or materials being unavailable when required. The hotel’s receiving entrance is open from 8:00 a.m. to 5:00 p.m. Monday through Friday. Advance arrangements must be made through the Events office for weekend deliveries. Any materials being sent to the resort must be marked as follows:

All packages must be packed/labeled correctly for pickup; vendors are responsible for scheduling their own pickups. The hotel banquet team can transport them downstairs once they are ready. Please do not leave these for the AIIM Team nor the hotel to manage.

If you wish to collect or deliver directly to couriers the closest FedEx location to the hotel is about four blocks, and UPS is roughly 2 blocks.

AV in Session Rooms

AIIM is responsible for the AV in all meeting rooms assigned for sessions on the agenda.

We will be ordering a screen, projector, audio and various mics for the room.

There will not be hardwired internet available.

Clickers will not be made available. Speakers can bring their own clicker and adapters.   

Sponsors should ensure their speaker/s have their laptop and all appropriate adapters available to present from.

Any videos required for the presentation should be embedded into the deck and available on the laptop.

Interactive Session Components:  

  • We are emphasizing interactivity in the AI+IM Global Summit. When crafting your session, be sure to include ways to engage participants through conversation, action, creation, or visible reflection.
  • You can utilize polling, structured discussions, and exercises. 
  • For a 45-minute session, aim for 2-3 interactive segments which total about 15-20 minutes of interaction time.

Session Curators

The AIIM Team will connect you with your AIIM industry expert who will serve as a session curator. You will have a scheduled 45-minute call to review session content to support your presentation development.

  1. During this call, your curator will provide guidance to help strengthen your presentation and discuss ways to make sure the session is interactive.
  2. After you submit your PowerPoint (due March 21st), your curator will review it and provide any final suggestions to help maximize your session’s impact.

These workshops take place on the morning of April 28, 2026. There will be upto 6 concurrent workshops at one time.

Facilitators and Cohorts – Sponsor Involvement (Diamond, Gold and Silver Levels)

Cohorts are small-group discussions of about 8-10 people that will meet up to three times virtually prior to the summit and then during allocated cohort time at the summit.

As a sponsor, you will identify one (two for diamond sponsors) team member who will serve as a facilitator to lead these networking and educational conversations. That person should also be available for the virtual meetups prior to the event and onsite at the event. We highly recommend and encourage that this is the same person to ensure consistency for attendees.

The virtual meetings and the cohort matching will take place using our event partner platform called Rallyboard. The meetings are held within a Zoom meeting created by Rallyboard, meeting invites come from Rallyboard based on scheduling requests on an intake form, and AI provides notes post-meetings for all to see. Rallyboard also allows you to create agendas for the cohort within the platform. Full training and details will be provided to facilitators.

Cohorts will be assigned on a registration date basis using AI that matches results based on a survey collecting data on their topic-area interest and industry. The first round of cohorts will be sent an intake form on February 16, 2026. The attendee will answer some planned questions to aid AI and our event partner Rallyboard to make these matches. We will then assign the sponsor facilitiator accordingly.

Event Mobile App / Badge Scanning

We will be using an event app, which will function as the source of all information for the event. This also includes Lead Scanning for sponsors, which is at no extra charge to sponsors.

All your staff who are registered to attend the event will be assigned the Lead Capture functionality into their profile and will use their own device to scan leads, there is a generic lead capture form that you can complete that also includes a notes field for any bespoke details you require as an organization. Unfortunately we are not able to amend the generic lead capture form.  

Within your Event Partner profile there is the ability to upload videos (max 10), images (Max 10), documents (Max 5). You can also list products with an image, create coupons and deals if you wish to use that functionality.

This will need to be completed by March 31, 2026. Updates can be made once the app is ready to launch mid-March and available in the app stores. Additional details about the lead scanning and the app launch will be available nearer the event dates. 

Event Registration Lists and Attendee Management

Thirty days (March 30, 2026) before the event, AIIM will provide an initial registration list (excluding contact information). All registered attendees will be added to the event app platform.

Through the event app's analytics dashboard, you'll be able to track attendee engagement with your sponsor listing. With attendee permission, you may scan participants at your sessions. We recommend framing this as a way to share educational follow-up materials. Consider inviting these attendees to visit your space in the Hall of Solutions after your session for more in-depth discussions.

Within three business days after the event, AIIM will provide a list of attendees who have opted in to receive sponsor educational materials. When following up with these contacts, please adhere to email marketing best practices, including a clearly visible unsubscribe option in all communications.
