Using SharePoint 2010 for Contract Management?

Just wondering if anyone has used SharePoint to develop a contract lifecycle mangement system.

I know there are products out there (CLM Matrix and Dolphin) that are built upon a SharePoint platform, but these are 35K not including CALs. We have SharePoint. I have looked for SharePoint books which mention contract management and come up with nothing. I would love to talk to someone who has actually done this so I know how much time to allocate, if it is realistic for us, and also if there are functionalities which are needed which will not be met by SharePoint OOB.

Yes we do. We use Sharepoint 2007 as a contract managment system. We have a sitecollection with subsites for the different categories of contracts. To the sites you can upload in pdf the final contract. When you do that you must fill in a form with typical metadata covering such items as contract partner, valid from, evaluation date, etc,. Each subsite has a web part for generating the Contracts Needed To Be Evaluated list. The responsible department can activate the "Alert me" function to get a mail when the list is populated.

We now have over 200 users and have been using it since 2009. It works quite alright.

We are also using Sharepoint for contracts management at Crocs. We are currently migrating from the 2007 to the 2010 version. We use a customized list and pull reports on new activity and expiring contracts into Excel using the datasheet view. - Laura McGee, Crocs, Inc. in Niwot Colorado

Here is an update on our migration into 2010, which is now complete: We are using it out of the box for contract management and have created a couple of different content types that are appropriate for different stages of the contract life cycle (review request through signature). We have also created a VERY slick rolling report based on a calculated field that subtracts the notice requirement from the auto-renew date to produce a report that is a Sharepoint view. We are also sorting and presenting different views based on global region, and sharing with other departments like accounts payable and tax. SP 2010 is great.

Hi Emily Tuck,

You can use Content Type, Document Set, Managed Metadata, Approval Workflow..etc which are OOTB features in SharePoint 2010 to build Contract Management. I think your requirement is like Document Management.

we've built a couple of simple contract management solutions with SP2010 and Nintex workflow. Mostly OOB features in SP. Once you have your procedures defined, document/content types/ templates and routing rules... It can be done in a couple of weeks... it all depends on the requirements.

We offer a product that helps to build a contract management system or improve one, when using SharePoint, https://store.qipoint.com/SharePoint-Related-List-Content-Viewer-p/sp14-01-rlist.htm

It will not build out all of the columns or contract information you may need. However, it provides a framework to view contract related information in a workspace. NOTE: If you have 100,000 or more contracts, then having one contract per sub site will reach a limitation in SharePoint. With this product you can do both options, every contract is a subsite, or every contract can be an item in a list.

This is Nehru , and I'm really not sure why did you hang up on me for 2 times when I called to schedule a demo of your product for one of our client .Is that you are afraid of something , I thought your software could fit in for my client and hence reached out to you.For us it does not matter whether it is our solutions or third party solutions we just need the best possible solutions and customer satisfaction.
Looking at your behavior I can certainly understand the culture of your company.If you cannot handle a sales how could any one trust for the support , I think you will just dump the software on some poor clients and then run off. Since we know the technical part of it you may be you are afraid of us. but whatever it is I would strongly discourage any one even thinking of your company Convergepoint purely based on my experience .

Good luck for you Chris and poor customers who may get cheated by you.

Hello All

Once again to any one who is reading this.
If you ever asked any documentation on the product with Convergepoint they will hang up on you . Even though I have requested the documentation to understand what exactly so called contract management system works and get a feel of it so I match my client requirements to identify the best fit, they just hang on me 2 times without telling me any reason so I suspect either Mr.Chris and company might have something to hide or possibly any security loop holes in their product or could be any flaw in the product so beware and be prepare for any legal problem in future.Since its contract management and highly confidential documents to deal with I would not recommend any one such a company , I may not comment on their product but certainly I can do so on the culture of the company with this one experience
