Initial Document Management Check List

Community Topic(s):

Keywords: content type, metadata, SharePoint 2010

Hi,

I have a client that will be migrating to SharePoint 2010 from SharePoint 2003.  They require an initial creation of a document management system for all of their documents beginning with the creation of the content type and metadata.  After reading on all the best practices and the process of establishing the document management system for SharePoint 2010 I was hoping to find a resource like a "check list" when creating an initial document management so that nothing is missed.  Does anyone know where I could locate such a resource?

Thanks,

M Mulholland, System Admin, SharePoint

Marina,

Have you checked the AIIM member resources? There are several guides and check lists. They all cover specific topics of ECM for example the "Document Imaging in SharePoint Check List". There is no one size fits all check list or guide because it has a lot to do with the use case. The ECMp training program is a good place to get the concepts and process.

For example ECM includes records management, but weather you use in-place records management, or records center depends on the organization. At a high level step one is discovery, step two design, step three planning, step four implementation. After discovery you should be able to answer all questions about:

- Methods of content capture
- Methods of storing content
- Content organization
- Document security
- Content search and retrieval
- Content disposition / retention

To help get there:

- Setup a requirements committee, if possible
- Interview end-users on a department or function level
- determine your platform governance. for example how is security treated, who can be site collection admin
- determine your ECM application governance. How and when will records be declared? Do you use eDiscovery features? Who can use them?

When you get to planning and implementing:

- design platform information architecture
- design ECM information architecture down to library level
- setup content type publishing
- Incorporate information management policies.
- setup managed meta-data service

These are all high level minimum recommendations. But again, it's a process.
