Hello and welcome.

I am an EDRMS Analyst and currently part of a team reviewing merged organisations involving 8+ ECM and records management systems.  As we have newly merged our new departments are looking to use collaborative tools to work together more efficiently.

We have an existing implementation of SharePoint as the new Intranet so the people are getting excited about what it can do.  The collaboration functionality predominantly requested are:

  • Document sharing;
  • Discussions;
  • Shared Calendars;
  • Task Management, etc

In my mind a good balance must be structure and user control to support users who would like to "collaborate".  The collaboration side of me wants people to adopt the open tool and have fun with it to accomplish their work while the other side of me needs to tick the standard ECM boxes of classification, information architecture and SharePoint architecture.

I have reviewed whitepapers from AIIM and other blogs regarding Collaboration and ECM yet I still would like to get your individual thoughts on this topic.

How do you keep a collaborative environment open while maintaining ECM standards which eventually support records management?  Look forward to your thoughts.
